In February, the Alberta Association of Career Colleges continues its Policy to Practice webinar series with a focused session on Tuition, Funding, and Payment Operations for the month of February.
Following the strong launch of Class List 101, this month’s session shifts attention to one of the most sensitive and operationally complex areas within private post-secondary institutions: financial processes tied to students.
The operational side of money matters. Payment schedules, funding timing, refund timelines, collections tone, and documentation standards directly impact student retention, compliance outcomes, and institutional sustainability.
This session is designed to strengthen clarity, consistency, and control across member colleges. This series is offered free of charge and exclusively to AACC member colleges.
Key Focus Areas
• Designing payment and funding workflows that reduce missed steps and unexpected disruptions
• Standardizing refund and withdrawal processes through structured decision trees
• Building a financial risk flag process to trigger early intervention before withdrawals occur
Learning Outcomes
Participants will be able to:
- Design a payment and funding workflow that reduces operational gaps and surprises
- Explain refund and withdrawal scenarios using a standardized, compliant decision framework
- Implement early-warning financial risk indicators to support proactive intervention
Who Should Attend
This session is intended for operational staff who work with students during Admissions, Enrolment, Student Services, and program completion stages and require a practical understanding of Payment Operations.
Practical Tools Included
Session handouts include structured decision trees to help staff determine:
• Compliant refund timelines
• Accurate refund calculations
• Applicable regulatory requirements
• Documentation standards that create audit-ready financial files
Policy sets direction. Operational discipline protects institutions. In February, we focus on turning financial policy into structured practice.
Session Leadership
The Policy to Practice series is led by Dmetri Berko, Executive Director of AACC.
Dmetri brings a practical, sector-informed perspective, supporting member colleges in turning regulatory requirements into clear, workable processes. His approach emphasizes consistency, risk reduction, and operational alignment across institutions.
